1. Scope of This Policy

This policy covers all personal information that Well Lit Electrical Services Inc. collects and processes through our website, by telephone, by email, in person at our Thornhill office, and on job sites where we perform electrical work. It applies to homeowners, landlords, property managers, business owners, suppliers, vendors and applicants who interact with our company. It does not apply to information that has been fully anonymized so that it can no longer be connected to an identifiable person, nor does it apply to data handled by independent third parties that operate under their own privacy statements.

We are responsible for personal information under our control, including information that we transfer to a service provider for processing on our behalf. Where we rely on a processor, we require that processor to protect the information and to use it only for the purposes we specify. This policy is written to align with the principles of Canadian privacy law and with reasonable international expectations for fair information handling.

2. Information We Collect

The categories of personal information we may collect include contact details such as your name, mailing address, telephone number and email address. When you request a quote we may record details about the property, including its age, the size and rating of the electrical service, the location of the panel, the type of wiring present and photographs you choose to provide. If we perform work, we keep records of the scope of the installation, the materials used, permit numbers, inspection results and the dates of service visits.

We may also collect billing information such as an invoice name, a billing address and a payment reference. For commercial clients we may collect a business registration number, a purchase order reference and the name of an authorized contact. We do not collect sensitive categories of information such as health records, and we ask that you not send us such information unless it is genuinely required for safety planning on a job site.

  • Identity and contact data, including name, address, telephone and email.
  • Property and service data, including electrical load details, panel photographs and site notes.
  • Transaction data, including quotes, invoices, payment references and warranty records.
  • Communications data, including emails, call notes and messages sent through our website form.
  • Technical data, including browser type, device category and approximate region from website visits.

3. How We Obtain Information

Most of the personal information we hold comes directly from you. You provide it when you call our office, send an email, complete the contact form on our website, sign a quotation, authorize work or correspond with a technician. We also obtain information from the property itself during a site assessment, where a technician records the condition of the electrical system and notes what work is required.

In limited situations we receive information from other parties. These may include a real estate agent who arranges an inspection on behalf of a client, a property manager who supplies building details, a general contractor who coordinates a renovation, or a supplier who confirms a delivery address. Where we receive information from a third party, we treat it with the same care as information you provide directly, and we use it only for the purpose for which it was shared.

4. Why We Use Information

We use personal information to prepare quotations, schedule site visits, perform electrical installations, arrange permits and inspections, prepare invoices, process payments and provide warranty support. We also use it to respond to your questions, to confirm appointment windows, to send safety reminders that relate to completed work, and to keep an accurate service history for your property so that future work is informed by what was installed previously.

On a secondary basis we use information to improve our services, to understand which pages of our website are useful, to train our team on common questions, and to meet our legal obligations for record keeping and tax reporting. We do not sell personal information, and we do not trade it for advertising. When we wish to use information for a purpose that is not described in this policy, we will explain the new purpose and, where required, seek your consent before proceeding.

5. Legal Basis for Processing

We process personal information because it is necessary to perform a contract with you, such as delivering a quoted electrical service. We process it because we have a legitimate interest in operating a safe and efficient contracting business, which includes maintaining service records and preventing fraud. We process it to comply with legal duties, including permitting rules, electrical safety requirements and tax law. Where none of these applies, we rely on your consent, which you may withdraw at any time subject to legal and contractual limits.

Where a service requires access to a property, we process the minimum information needed to plan the visit safely. We do not make automated decisions that produce legal effects about you, and we do not build profiles for the purpose of selling behavior data to other companies.

6. Consent and Your Choices

By providing personal information to Well Lit Electrical Services Inc., you consent to its collection, use and disclosure as described in this policy. You may withdraw consent at any time by contacting our office, although withdrawal may mean that we can no longer provide a service that depends on the information. For example, we cannot schedule an inspection without an address and a contact number.

You control several choices directly. You may ask us to communicate by a preferred channel, to avoid leaving voicemail messages, or to send documents to a specific email address. You may decline optional marketing messages without affecting the delivery of contracted services. You may ask that we not photograph certain areas of a property, provided this does not prevent us from confirming that the work meets electrical safety requirements.

7. How We Share Information

We share personal information only when it is necessary to complete the work you requested or to meet a legal obligation. Typical disclosures include providing an address and contact name to a supplier who is delivering material to a job site, providing permit details to the electrical authority that issues the inspection, and providing invoice information to a payment processor so that a transaction can be completed.

We may also disclose information where we are required to do so by law, by a court order, by a regulator exercising a lawful power, or by an emergency responder who needs to reach a site. We do not disclose personal information to advertisers, data brokers or unrelated third parties for their own marketing purposes. If our business were ever restructured, information could be transferred as part of the affected assets, and we would require the recipient to honor this policy.

8. Service Providers and Processors

We rely on a small number of service providers to operate our business. These may include an email host, an accounting platform, a payment processor, a website host and a scheduling tool. Each provider receives only the information needed to perform its function, and each is bound by an agreement that limits its use of the information to that function. We review these arrangements periodically and we favor providers that offer clear privacy commitments and reasonable security controls.

Where a provider stores information outside Canada, the information may be subject to the laws of that jurisdiction and may be accessible to authorities there. We choose providers carefully and we take reasonable steps to ensure that a comparable level of protection travels with the information. We remain accountable for personal information that we transfer to a processor for handling.

9. Payment and Billing Information

When you pay for electrical work, we may collect billing details such as the invoice name, the billing address and a payment reference. Card payments are handled by a payment processor, and we do not store full card numbers in our own systems. We retain records of invoices, payments and credits because tax and accounting rules require it and because a warranty claim may later depend on proof of purchase.

If a payment is declined or disputed, we may use the associated information to resolve the matter, which can include sharing limited details with the payment processor and, where necessary, with a collections partner or legal advisor. We keep payment data separate from general project notes so that access can be limited to the staff who need it.

10. Cookies and Website Technologies

Our website may use cookies and similar technologies to keep the site working correctly, to remember small preferences and to understand how visitors move through the pages. Cookies are small text files placed on your device. Some are essential to basic functions, while others help us measure which content is useful. You can usually control cookies through your browser settings, and disabling them may change how parts of the site behave.

We do not use cookies to build advertising profiles or to track you across unrelated websites. Where we use a measurement tool, we configure it to collect aggregate information and to minimize the collection of identifying details. If we ever add a feature that depends on a new category of cookie, we will describe it here and, where required, request your consent before it is used.

11. Analytics and Performance Data

We review aggregate website statistics such as the number of visits, the pages that are viewed and the approximate region from which visitors arrive. This information helps us decide which service descriptions to expand and which technical problems to fix. The data is used in summary form, and it is not used to make decisions about individuals.

We may also monitor the technical performance of our own systems, including error logs that record when a page fails to load. These logs can contain an internet protocol address as a byproduct of normal operation. We keep such logs only as long as needed to diagnose and resolve problems, and we restrict access to the team that maintains the site.

12. Data Retention

We keep personal information only as long as it serves a practical or legal purpose. Service records for completed electrical work are retained for the life of the warranty and for a reasonable period afterward, because future troubleshooting depends on knowing what was installed. Financial records are retained for the period required by tax and accounting rules. Website contact messages are kept until the inquiry is resolved and then for a short period for reference.

When information is no longer required, we destroy it securely or anonymize it so that it can no longer be linked to a person. Where information exists in backup systems, it is removed according to the backup rotation schedule. If you ask us to delete information and no legal or contractual duty requires us to keep it, we will do so within a reasonable time.

13. How We Protect Information

We use administrative, technical and physical safeguards to protect personal information. These include limiting access to the staff who need it for a specific task, using password protection and current software on our devices, and storing paper records in a locked office. Our vehicles and job site documents are handled so that client details are not left visible or unattended.

No method of transmission or storage is perfectly secure, so we cannot promise absolute protection. We do, however, review our practices, train our team on handling information safely, and correct weaknesses when we find them. If you believe that your information has been handled improperly, contact us immediately so that we can investigate and respond.

14. Data Breach Response

If we become aware of a breach of security safeguards involving personal information under our control, we will investigate promptly to determine the scope and the risk of harm. Where the breach creates a real risk of significant harm, we will notify affected individuals and the appropriate regulator as required by law, and we will describe the nature of the incident and the steps taken in response.

We keep a record of privacy incidents so that we can identify patterns and strengthen our controls. We cooperate with regulators and with law enforcement where a matter is criminal in nature, and we take reasonable steps to reduce the chance that a similar event can happen again.

15. Access and Correction Rights

You may ask to see the personal information we hold about you and to receive an explanation of how it has been used and to whom it has been disclosed. You may also ask us to correct information that is inaccurate or incomplete. To make a request, contact our office using the details at the end of this policy and describe the information you are seeking.

We will respond within a reasonable time and at little or no cost in most cases. We may need to verify your identity before releasing information, and we may decline a request in limited circumstances permitted by law, such as when the information relates to an ongoing investigation or would reveal another person. If we decline a request, we will explain the reason.

16. Deletion and Restriction Requests

You may ask us to delete personal information or to restrict how we use it. We will honor such requests where we do not have a legal or contractual reason to keep or use the information. For example, we cannot delete an invoice that tax law requires us to retain, and we cannot remove a service record that a warranty claim depends upon.

When deletion is possible, we remove the information from active systems and from backups according to our rotation schedule. If we cannot delete information outright, we may anonymize it so that it can no longer be associated with you. We will confirm the outcome of your request in writing.

17. Privacy for Children

Our services are intended for adults who own, manage or occupy property. We do not knowingly collect personal information from children. If a child contacts us through the website, we will not retain the information beyond what is needed to respond and to close the message. A parent or guardian who believes that a child has provided information may contact us and ask that it be removed.

Where electrical work takes place in a home with children, our technicians behave professionally and respect the household. We do not record images of occupants, and any photographs we take are limited to the electrical equipment and the areas that the work affects.

18. Third Party Links and Services

Our website may link to third party resources, such as a manufacturer page for a product we install or a utility page for a rebate program. Those sites are governed by their own privacy policies, and we are not responsible for their practices. We encourage you to review the privacy statement of any site you visit before providing personal information.

If we embed a third party tool, such as a map or a scheduling widget, that tool may collect technical information under its own terms. We choose integrations that are relevant to our services and we avoid unnecessary tracking. A link from our site does not mean that we endorse the entire content or the privacy practices of the destination.

19. International Data Transfers

Some of our service providers may store information in the United States or in other countries. When information is transferred across a border, it may be accessible to authorities under the laws of that country. We take reasonable steps to ensure that transferred information continues to receive protection consistent with this policy and with applicable law.

Where we are required to protect information with a contractual commitment, we use agreements that limit the recipient to the purposes we specify. We remain accountable for information that we transfer to a processor, and we will respond to your questions about where your information is held.

20. Marketing Communications

We may send you occasional updates about seasonal maintenance, safety reminders or new services that relate to electrical work we have performed for you. These messages are limited in number and always include a way to opt out. You may also ask us at any time to stop sending marketing messages while continuing to receive service and billing communications.

We do not sell or rent contact lists. If we use an email platform to send an update, that platform processes the address on our behalf and is bound to use it only for the message we authorize. Withdrawing consent for marketing has no effect on the services we provide to you.

21. Employment and Applicant Data

If you apply to work with Well Lit Electrical Services Inc., we collect the information you provide in your application, such as your name, contact details, work history, certifications and references. We use this information to assess your suitability, to verify qualifications and to communicate with you about the hiring process. We keep applicant information for a reasonable period and then destroy it unless you ask us to retain it for future openings.

For employees, we maintain records required for payroll, benefits, safety training and legal compliance. These records are kept confidential and are accessible only to the people who administer them. Candidate and employee information is not used for any purpose unrelated to employment.

22. Subcontractors and Job Site Data

On larger projects we may engage subcontractors or trade partners. When we do, we share only the information that is necessary for their portion of the work, such as an address, an access arrangement and a technical scope. We require these partners to protect the information and to use it only for the project at hand. They are not permitted to use client information for their own marketing.

Job site photographs are taken to document concealed work and to support inspection. We avoid capturing personal belongings where possible, and we store photographs in a controlled location. If you prefer that a particular area not be photographed, tell the technician and we will note the request while still confirming that the installation meets code.

23. Changes to This Policy

We may update this Privacy Policy from time to time to reflect changes in our practices, in technology or in the law. When we make a material change, we will revise the effective date at the top of this page and, where appropriate, provide a notice on our website. We encourage you to review this page periodically so that you remain informed about how we protect personal information.

Continued use of our website or continued engagement of our services after an update means that you accept the revised policy. If you do not agree with a change, you may contact us with your concerns or ask that we limit the use of your information as described in the sections above.
